Other terms and conditions:

1.  The roommate you choose or the one chosen for you (if you wish us to do so) must be your same roommate during the entire stay.  Please don't put yourself down as someone's roommate without their permission.  If you choose a roommate, we can't hold your room until both parties have registered and paid or placed deposits.

2.  You can request a room with one bed or two beds.  (Note: room preferences are on a first registered, first reserved basis.  Only the hotel controls the availability of room types. There is a potential that if rooming alone or sharing a bed with someone that you will get a full, queen, or king bed and a potential that as roomates sharing you may have two full/double beds or two twin beds. We register you regardless of availability.)

3.  You can be paired on the golf course with one friend for one or multiple days.  Please do not make multiple requests, e.g. Bob on Monday, Bill on Tuesday, Sue on Thursday but only if she's not playing with Mike on Friday, etc.

4.  You'll be given an opportunity to pay with a credit card or check.  If you pay by check, all up front, you'll save 5% (this offer is valid until further notice). If you pay by credit card, you don't get the 5% but you can spread your payments out:  10% now, 40% by March 15th and balance by June 15th.  You'll likely be charged an additional 3% by your credit card company as an "international transaction fee" - - unless you have one of those non-fee cards through Capitol One.  You will be giving ASGA or the Fairmont Hotel the right to charge your card in the amount shown.

5.  If you rent a car, it doesn't reduce your price.  We'll be hiring motor coaches to move us around and will ask on the registration form if you plan to rent.  This is non-obligatory.  We just want an idea on how many motor coaches to hire. Ground Transporation is included ONLY for those days of the package and is only from Edinburgh Airport. Should you arrive early or stay late, or arrive in another city in the U.K.,  ground transport is at your expense.

6.  Here is our cancellation policy as it relates to this event (which is different from our normal cancellation policy for must nationally-sponsored multi-chapter events):  Cancellation Policy:  ASGA is under contract with the hotel and golf courses to fill-up a room block. Because we have reserved so many rooms, we are under a strict attrition clause with the hotel.  Therefore, there will be a 5% cancellation fee of the package you checked through October 31, 2009, a 10% through January 31, 2010, 40% through April 30, 2010 and no refund after April 30, 2010.  You may sell your position to another member without charge if you ever need to.  If you believe your job, medical or other reasons might cause you to cancel, you should check into vacation insurance, found in many places on the internet.  One source is www.InsureMyTrip.com.

7.  Members typically want to know "who's coming from my chapter?"  You'll need to give us permission to release your name and to publish your name on the list that will be posted at www.SinglesGolf.com/scotlandwho   That permission will be on the registration form.

8.  We're a number of months away from this event and we're certain there will be minor changes, changes that will not have an effect on the value you're receiving.  We're also at the mercy of the hotel, courses, restaurants and other venue items so please understand if we have to make slight modifications to our itinerary.

9.  The U. S. Dollar is weak against the British pound (GBP).  If we would have had this trip in March, 2009 (brrrr!), the price would have been about $400 lower just realizing the difference in the exchange rate.  The price you see is the price you pay regardless if the exchange rate changes.  The prices shown above are valid through October 31, 2009 and ASGA reserves the right make changes to the posted price for those who have not registered.  No retroactive credits or debits will be given to those already registered as a result of the dollar exchange rate.

10.  Other than the non-golf package, no reductions in price will be given to any member who does not want to participate in any event, whether it is for illness, lack of desire, change of mind, etc.  Everything is sold as a package.

11.  In Scotland, golf courses are walked.  If you want to ride, only the Kittocks course and the PGA Centenary course at Glen Eagles have golf carts.  Payment for this is on your own.  Links courses in Scotland are typically pretty flat and it's rare to see golfers in golf carts.  Pull carts can be purchased at the pro shop and motorized "powakaddies" can be rented (on your own).  We recommend you purchase a light-weight golf bag to carry as opposed to the 25 pound bag you currently have.  Also, if you're interested in NOT bringing your own clubs, the Fairmont will rent clubs to you for your four rounds for about $240.00.  Not cheap, but you'll probably save $100.00 by not paying the $50.00 each way for the airline to get your clubs there.  Something to think about twix now and then. (SEE #14 for details about renting clubs, arranging caddies, etc)

12.  At some point, we'll ask you to let us know your arrival time and pass this information along to the motor coach company, as getting you from the Edinburgh airport to St. Andrews is included in the packages.  We will group members together for efficiency and try to cut-down on the amount of wait time you'll have at the airport.  The motor coach companies tell us that about every 2-3 hours a coach will run from the airport to the hotel.  Hopefully, you'll not have to wait that long, however, we don't know when your flight will come in and transfer members individually is not part of the package. Should you not provide this information by July 23, 2010, we cannot guarantee your ground transportation.

13.  Rain policy.  If the golf course is open, we must play.  St. Andrews is on the North Sea and a quick rain sometimes flows in.  Be prepared to experience "four seasons in a day" as they say.  Refunds are only available if the golf course closes.

14 How to Arrange for Golf Club Rentals, Powakaddys, Pull Carts and Caddies (6/3/10)

Members, should you wish to arrange for golf club rentals, caddies, Powakaddys or pull carts you will need to contact the respective person for each golf course below. This will not be coordinated through ASGA.  Please realize that most courses are walked and you’ll want to keep your bag light.   Powakaddys are electronic pull carts.  Info at www.powakaddy.com.uk/

ALL PRICES ARE SHOWN IN GREAT BRITAIN POUNDS (GBP’s).  To convert from pounds to dollars, go to www.xe.com .  As of 07/15/10, the exchange rate is roughly $1.54 to the pound.  So a £45 caddie fee would be $69.25.  Note that golf club rentals for the ENTIRE STAY may be done through the Fairmont Hotel.  This keeps you from having to contact each course individually.  Cost is £175.00 and this is arranged through the Fairmont Hotel.

7/23/10 Note-All Courses will have the final pairings list by Tuesday, July 27th, so they will know which tee times you have.

For the Fairmont courses (Torrance and Kittocks Courses), contact Fraser Liston, Golf Operations Manager Tel:  01144-1334 837 023 or e-mail him at  fraser.liston@fairmont.com  Golf Carts (40 on site/subject to availability) -  £30 KITTOCKS COURSE ONLY

.

UPDATES FROM FRASER LISTON 7/20/10-----No more available Caddies--see his notes here

  • All Caddies have been allocated for the week, so no further bookings will be permitted from now until the start of the event.
  • A small number of golf carts have been booked so far - I would recommend that all players take golf carts (£30 per cart) for The Kittocks Course, as many of the holes are a large distance from the clubhouse, and would require a long walk to get to. The course also has more changes in elevation, and is really designed as a cart course. However, we only have 40 carts in our fleet, which would only facilitate 80 players.
  • On Torrance, the holes are closer to the clubhouse and easier to walk to, but like I said above, we will work on a plan to ensure each shotgun runs smoothly.

(Golf Carts permitted on The Torrance only with a valid medical certificate - required to take a caddie to drive the cart - £45 charge, payment required on day, directly to caddie)

Pull Carts (78 available) -- £4.00     No Powakaddys available at the Fairmont Courses

Caddies £45

GLENEAGLES - Send all requests/inquiries via e-mail to Cameron Long -  Cameron.Long@gleneagles.com

The information needed would be:    1) Your name, 2) Rental item(s) required, 3) Which course you'll be playing (i.e. upgraded PGA course or non-upgraded Queens course)

Rental Rates-- Pull Cart: £7, Powakaddys:  £22,  Golf Clubs- £45 per round / £52 per day, Golf Cart (PGA course only) £42.50 and caddies (not including gratuities) £45.50.

Please note that members will need to pay for the rented items on the day they are rented (or hired, as they say). Caddies should be arranged in advance and are to be pre- paid. Gratuities are normally paid in cash on the day of the golf play.

CARNOUSTIE

Carnoustie does not allow golf carts.  70 Pull carts are available which are based at the Championship Course and can be rented for £4.00 on a 1st come basis. Ten Powakaddys are available and can be pre-booked and are £12 .00

The golf pros at Carnoustie HIGHLY recommend that you use a caddie, especially if you are playing the Championship Course. Caddies are £45.00 basic plus any gratuity deemed appropriate. This should be paid in cash to the caddie at the end of the round.

The Event Coordinator assures us that securing a caddie within 24 hours of your tee time will not be a problem and that they will have enough Caddies for everyone.

7/19 --Carnoustie will not be taking any reservations until they have all of the pairings information from us. They assure us that they will have enough caddies to suit our needs. We will post the contact information once they have the pairings, which should be in just a few days.

*7/23--Contact the Caddy Master, Martin Roy to schedule---01144 1241 802 288 or 289 or via email at Caddiemaster@carnoustiegolflinks.co.uk

PLEASE REMEMBER

ASGA cannot rent clubs or other equipment for you.  This is something you must do on your own.

ASGA reserves the right to make minor changes to the above that do not affect the value you will receive.

E-Mail Sent to Attendees on July 1, 2010:

Hi Folks -

We're T-minus 30 days and counting for our Scotland trip.  I spoke with the general manager of the Fairmont Hotel just a short while ago.  Weather is cool and they need rain - - but the courses are still in good shape.  One of the courses, the Torrance at the Fairmont, was used for British Open qualifying and they said it was in excellent condition.

We started planning this event last August and things are pretty much according to schedule.  Susan Schreck has been handling a lot of the detail on the trip, lining up transportation, food venues, variety day activities, etc. and we'll be getting some more detail in the days to come.  We're happy that Susan will also be attending the event to accommodate our group.

Another thing we're very happy about is the lodging we worked-out in Edinburgh, our final two days.  (By the way - - the locals pronounce it Edinboro!).

It was interesting when we negotiated our contract with the Caledonian - - they didn't mention that their king beds could not be split apart into two twins as is the case with most other hotels in the UK, so after filling up our allocation at the Caledonian, we looked elsewhere for hotel rooms - - and most of them were well off the beaten path, i.e. several miles away from the Royal Mile - - the center of everything in Edinburgh.  (Plus, we didn't want to put two guys in one king-sized bed!)

Our original announcement indicated we'll have people at the Caledonian or "other location/hotel."  So some of us will be at the "Callie" and others at the Chalmers St. Apartments.  We've been told the Chalmers are brand new.  If you're at the Chalmers for our last two nights on this trip, you'll have a room to yourself - - and it's only a couple of blocks from the Royal Mile.  This mean that even if you had a roommate for the previous six nights at the Fairmont, you'll room by yourself here.  So we'll all be in the heart of Edinburgh where the largest arts festival in Europe is going on while we're there.

Who's staying at the Chalmers?  We'll let you know upon registration on the first day of the event.  Changes cannot be made now or at the event for these last two days.

We have ordered yellow lanyards and they will be mailed to you soon.  These have a small ASGA medallion on them.  The only purpose for these is that when you wear it at the airport and "downtown" St. Andrews and Edinburgh, other ASGA members will know you're an ASGA member.  There's 200 of us going on this trip and we want to feel like a big family - - and this will help in that manner.  Please wear it from the moment you're at your departing city so others in your chapter will see you and continue to wear them when at airports and around the public.  The lanyards are due in here next week and we'll mail those, plus your nametags to you in the same package.

We offered you a free ASGA shirt - - however, we failed to ask you your size when you signed-up for the event.  So we have a specific request:  ON THE SUBJECT LINE OF A SEPARATE E-MAIL, PUT YOUR NAME AND SHIRT SIZE AND INDICATE YOUR SEX.  Example:  Tom Alsop, Large, Male

Most shirts are all cotton so expect some slight shrinkage.

Send this email to irene@SinglesGolf.com - - Irene will prepare this mailing.  PLEASE DO NOT respond to this e-mail with your size info.

If you have questions about the details of the event, send to Susan at Susan@SinglesGolf.com
Send shirt sizes to Irene at Irene@SinglesGolf.com
If you have anything for me, please send to GolfASGA@aol.com  - -

Keep in mind that we will be leaving to Scotland a few days before you do - - possibly - - so please don't call the office the day before you're going expecting us to jump over hoops.  If you have questions, direct them to us now.  Please DO NOT reply to this e-mail address.

That's it for now.  Get your shirt info to us right away.  You will receive your shirt at the registration table at the Fairmont Hotel upon your arrival in Scotland.  IF WE DON'T HEAR FROM YOU BY JULY 15, YOU WILL NOT RECEIVE A SHIRT.

Look for more updates in the next week.  Enjoy your Fourth of July - - celebrate living in America!

Take care.

Email sent to attendees on  7/21

Dear ASGA Scotland Golfers,

First of all, let me say a big thank you for all of your cooperation and patience while I work to finalize all of the logistics and important details of this trip. I’m certain this will be a memorable time for all of us and I’m looking forward to meeting all of you. Please take the time to read this in its entirety, it could be influential in determining your level of ease on this trip. You should and will want to print this information to have it with you as there are so many handy bits of information here.

I’m sure you all are starting to pack your bags as it’s not long now! (And, if you watched the Open, you see that practically all seasons can be covered in a day.) Pack your umbrellas, sweaters, jackets and windbreakers for sure. Following here are some helpful bits of information.

Flight information—This is critical for me to have should you expect to be transported on 7/31 or 8/8. There are still some of you who haven’t provided me with this information and many of you who have provided me either incomplete information or questionable information. I’ve emailed many of you to clarify, but please remember the important bits of information we need are those relating to picking you up at the airport on 7/31 and taking you to the airport 8/8. (Some of you provided me with your late departure information for, say 8/14, but I guess assumed that I’d know you wanted to go to the airport on 8/8 because you are flying to Paris, or London or Germany.) I cannot know this if you do not tell me.  If you are arriving days early and planning to meet at the airport on 7/31 for the ASGA provided transportation, I need to know this. You still need to be on the list for the transportation team. Likewise, if you want to go to the airport on 8/8 for whatever reason, I need a time. We can only be as thorough and effective as the information you provide to us. The delay in getting this information correctly does affect my transportation team and the hotel in a negative way. This is our last week to get this all locked up tightly. Should we not receive flight data from you by this Friday, 7/23, we cannot guarantee your ground transportation. I resent an email to those of you whose flight info I do not have. THIS IS NOT AN ONGOING SHUTTLE WHERE YOU CAN HOP ON AT YOUR LEISURE, YOU MUST BE ON THE LIST. DON’T BE SITTING AT THE AIRPORT WANDERING WHERE YOUR RIDE IS. ACT NOW OR FOREVER HOLD YOUR LUGGAGE AND CLUBS!  Now, Should your flight get cancelled or you do not make a connection, please contact our transport manager, Jim Kilpatrick at 01144-7737 931 892 if calling from a U.S. phone, or 07737 931892 if calling from a public phone in the UK or 0044 7737 931 892 if calling from any public phone in any other European country.  Please call him directly but ONLY with major flight issues. Please do not contact him for any other reason, he is as crazy busy now as we are. I will not be there until the same day as the rest of you so don’t call me or Tom if your flight gets delayed or cancelled, call JIM directly.

Ground Transportation-Remember Ground Transportation is only provided if you arrive on 7/31 or depart on 8/8 (and have given me your information) or have specified that you will meet us at the airport 7/31 for pickup or that you need to go to the airport on 8/8. Otherwise, ground transportation is on your own. A good resource is www.standrewsshuttle.com  or you can catch a taxi for the 1 hour ride to St. Andrews or always rent a car.

Shirts-If you haven’t provided your shirt size to our office manager, Irene,  you must do so by this Friday, July 23rd by 12 NOON EST or else you will not receive a shirt. Please email her directly with your name, sex and shirt size. (irene@singlesgolf.com) Again, please do not send this anyone except Irene.

Golf courses-Pairings are being compiled as I write this and we will review and send out to all of you in within the next 24 hours. This is NOT the time to request a pairing, but just to confirm that you have been paired per your earlier request. On Friday, July 23rd at 5 PM, we will send this completed pairings list to the various golf venues (The Fairmont, Gleneagles and Carnoustie), so if you see an error or don’t see your name someplace or with the friend you requested, please contact TOM at golfasga@aol.com, PRIOR to this time.   If you want to arrange a caddy, or rent clubs, pull carts, powakaddys, etc please refer to #14 where instructions have been at www.singlesgolf.com/scotlanddetails. We will not coordinate any of this on your behalf and cannot be responsible if you should not get a cart, caddy, etc. This information has been out to all of you for at least 6-8 weeks and you must do it on your own. Please refer to the Scotland Details web page!  The dress code is standard golf attire, collared shirts and NO jeans. Metal or soft spikes permitted. Shorts are o.k. but haven’t been highly recommended due to the weather.

Electronic devices—Due to the variance in voltage (110v vs 240v) and the differences in the plugs/outlets, you will most likely want to have an adapter if you want to charge things such as cell phones, computers, hair dryers or electrical hair styling irons. Keep in mind that anything with a heating element will usually not heat up to the same intensity as it would here in the States, due to the voltage differential. With that said, the Fairmont Hotel does have ONE U.S. style plug in each of their rooms and hair dryers in each. However, if you are with a roommate, one of you will most likely want to bring a hair dryer for your last two nights stay in Edinburgh, as I cannot guarantee those for these days.  Should you wish to purchase an adapter in advance here is one link --http://www.boxwave.com/products/plugadapters/universal-to-uk-outlet-plug-adapter.htm and it’s quite easy to purchase them once you are in Scotland. The Fairmont Hotel sells them for £6 each and the Caledonian for £5 each.

Cell Phones—Please realize that you should contact your cell phone provider regarding the ability to 1). Use your phone while in Scotland, 2). What the charges are to use your phone in Scotland (both calls and data) and 3.) How to disable the “data roaming” setting on your phone (this is very important to know for those with email and internet on their phones, as you could run up a $1,000 phone bill in no time just for turning your phone on over there, if this feature is not disabled!) Once you have this information, you’ll be able to make an educated decision as to whether you should use your cell phone there or not. Tom and I have pre-purchased phones in Scotland and those phone numbers will be included in the program along with instructions on how to phone us. (It depends if you are using a U.S. based phone or calling from a U.K. phone) Should you wish to do the same, there are 2 cell phone shops in St. Andrews, Phones for You and The Carphone Warehouse (both on Market Street). For about $75-$100 you can get a good amount of call time and buy the phone and it only costs 4 pence (like 6 cents) per minute to call the U.S. (compared to the $1.30 per min my cell phone provider will charge if I use my own phone) You will have to wait until you are over there though to arrange this, as they cannot use a credit card over the phone, they have to have the card in hand or cash in hand. **note, if you do nothing else, do not even think about turning on your cell phone over there without first calling your provider prior to leaving so you fully understand the charges you could be facing.

Money- otherwise known as British Pounds Sterling(GBP), commonly referred to as “pounds” and written with that cute £ sign. Regarding money, you will want to have some British Pound currency on your person upon arrival to the Fairmont Hotel for porters and I would suggest having £100-£150 to keep on hand for tipping and small purchases. You can check with your bank in advance to get this before leaving the U.S. or else visit one of the ATM machines or money exchange locations at the EDI airport, there are at least 3 ATMS. Currently £1 equals roughly $1.50, so it’s 1.5 times as much for us. You can track the daily exchange rate at www.xe.com.

Lanyards & Nametags—You should be receiving your nametags and lanyards this week. Please make sure to wear them at your departing airport so DO NOT PACK your lanyard as you’ll need to be wearing it so other members and the transportation team in Edinburgh Airport can easily identify you. Although the ground transport team will have ASGA signs for you to look for upon your arrival, wearing these lanyards will be a huge asset for our ground transportation team. ( I will have a few extras available at registration for those of you who left early and didn’t have time to receive them)  This lanyard will also serve as admission to the British Golf Museum in St. Andrews should you wish to go during any free time. (http://www.britishgolfmuseum.co.uk/)

Arrival Day, Saturday, July 31st—The official check-in time at the Fairmont is 3 p.m.  I realize that many of you are on early flights and will no doubt get to the Fairmont before then. The Fairmont will be provided with the flight data and will do their very best to try to accommodate early check in. Please realize that this could be several of you and that you may have to wait a little while for your room if you are very early. They will hold your bags for you while you wait. Become familiar with the layout of the hotel, you will be here for 6 nights!

Registration will begin at 3 p.m. and run until 6 p.m. You will be instructed once there as to where this will be held. As I will not arrive until later this day, Tom will be on his own so if any of you who have helped at registration before are going to be there early and are ready to lend a hand, please email Tom at golfasga@aol.com . I know he’ll appreciate it. I should get there by 5 p.m. to help as well.

Cocktail hour will begin at 7 p.m. with a buffet dinner following at 8 p.m. (for those of you who missed registration, we’ll move the registration table to the cocktail party) Should you have special dietary requirements, please let me now, not right at the event.  susan@singlesgolf.com

There will be announcements during our welcoming party/dinner.

Daily Announcements—I will have the Fairmont provide me with a place where I can post daily announcements and important information that pertain to your next days’ events. (i.e. which bus you are to be on at which time for Carnoustie, Gleneagles, Variety Day, etc) It is imperative for you all to stop and review this each day. I will also post when I will be physically present at this location. Should you have any issues while there, Tom and I will also have a published cell phone number in the program.

General Dress—As I’ve said, please prepare for at least 3 of the 4 seasons—fall, spring and if we’re lucky, summer. The highs lately have been in the upper 60’s with lows in the mid to high 40’s. I just spoke with someone in St. Andrews and it was about 47 degrees, chilly and very windy lately. Check the weather online before your departure. As far as dress for our functions, you will NOT need anything super fancy or very dressy. Casual attire will be fine for all days and you may want to wear something such as business casual attire for the final farewell dinner.

Variety Day—If you haven’t done so and want to, please sign up for the Variety Day activities via the link from the email I sent last week. You must sign up by this Friday, 7/23 as I will be gone after this date. If you have any difficulties signing up, please email me at susan@singlesgolf.com.  Should you sign up after this date, I will have no way of knowing so you will not be counted. Due to there being a limited number of seats on each bus, we cannot exceed our numbers to each venue. Should you not sign up by this Friday, 7/23, and decide in Scotland that you want to go on a variety day trip, you must get with me by Tuesday Morning, August 3rd.. You will be added to the trip provided there is space.  Remember, if you have been informed that you are playing Carnoustie on this day, you will be joining the trip to Glamis Castle after your round of golf.

This is also a great day for those of you who want to try to pick up extra golf rounds to do so. You may want to stay in St. Andrews to check out the Castle and Cathedral or the British Golf Museum or you may want to relax and enjoy the 20% discount at the Spa at the Fairmont. This is a free day and a great one to relax and soak in all things Scotland!

Travel Insurance—It’s not too late to get this and I would highly suggest that you all secure this as a safety precaution. I have been the victim of an accident while on an overseas vacation, so I promise you will be glad that you got this ahead of time should anything happen or you get sick and not be able to go. www.insuremytrip.com

MOST IMPORTANT FOR YOU ALL TO NOTE---TOM  WILL BE GONE BY THIS SUNDAY 7/25 AND I WILL BE OUT OF THE OFFICE AFTER MONDAY 7/26 BUT NOT ARRIVING IN SCOTLAND UNTIL THE SAME DAY AS YOU, 7/31—WE WILL NOT HAVE ACCESS TO EMAIL OR BE ABLE TO HANDLE ANY MORE OF YOUR QUESTIONS OR REQUESTS. VARIETY DAY STATS WILL BE COMPILED THIS FRIDAY, SO IF YOU TRY TO SIGN UP AFTER THIS, I WILL NOT GET IT. YOU WILL HAVE TO WAIT UNTIL WE ARE IN SCOTLAND AND THEN WE’LL HAVE TO SEE IF WE CAN FIT YOU IN. IRENE DOESN’T HAVE DETAILS PERTAINING TO SCOTLAND SO PLEASE DO NOT CONTACT HER.

I BELIEVE WE HAVE COVERED 99% OF THE THINGS YOU NEED TO DO OR KNOW IN ADVANCE HERE AND ON THE WEBSITE, SO SHOULD YOU CHOOSE NOT TO READ THIS IN ITS ENTIRETY AND FOLLOW THE INSTRUCTIONS, YOUR ENJOYMENT OF THE TRIP COULD SUFFER.

Remember there are 200 of you and all I can do is convey the information the best I know how. It’s up to you what you do with it and ultimately up to you to enjoy yourself. Remember we are in another country and they do things a bit differently than we do, and their English is even tough to understand sometimes. So, be flexible and try to adapt and take it all in, nothing is worth getting worked up about, we can always try to find a solution and you are here to enjoy this wonderful golf trip with 200 single friends you didn’t even know you had!

Thank you all for your attentiveness to all of these matters. It will ensure a much smoother and enjoyable trip for all!

Kind regards,

Susan
